Extensions are the part of telephony that gets decided in five minutes and suffered over for years. Someone hands out numbers in order of arrival, jots them down on a sticky note, and three hires later nobody knows who 214 is or why the new salesperson has 108.<\/p>\n

Designing an internal numbering plan takes half an hour. Here’s what you need to think about.<\/p>\n

What an extension is today<\/h2>\n

A short number \u2014 usually three or four digits \u2014 that identifies a person or a service inside your company. With IP telephony, the extension is no longer tied to a device: it’s tied to a user, and it follows them to the desk phone, the computer, and the mobile.<\/p>\n

That changes one important thing: the extension stops being “where the phone is” and becomes “who you are”<\/strong>. That’s why the design matters more than it used to.<\/p>\n

Three or four digits<\/h2>\n

Three digits give 900 usable combinations and are easier to dial and remember. Four digits only pay off if you have several sites and want the first digit to identify the location.<\/p>\n

For 95% of SMEs: three digits, starting at 100<\/strong>. Avoid starting with a lone 1 or 0, which clash with the PBX’s own service codes.<\/p>\n

The plan that survives growth<\/h2>\n

The rule is to group by department and leave gaps. An example you can apply as is:<\/p>\n<\/p>\n

Three principles behind that table:<\/p>\n

  1. Leave twice the gap you think you need.<\/strong> If you’re four salespeople, reserve twenty numbers. Reordering extensions two years later means changing email signatures, business cards, and everyone’s habits.<\/li>\n
  2. Separate people from services.<\/strong> Queues, groups, and mailboxes should never be mixed in with people’s extensions. When you dial 900, you know you’re calling a group, not someone.<\/li>\n
  3. Don’t reuse extensions of people who’ve left.<\/strong> At least not for six months. Customers have memories and address books, and you don’t want someone asking for the previous salesperson to reach whoever just joined.<\/li>\n<\/ol>\n

    What gets configured per extension<\/h2>\n

    The extension isn’t just a number; it’s a container of rules. For each one you decide:<\/p>\n

      \n
    • Which devices it rings on.<\/strong> Desk, computer, and mobile at once, or in sequence.<\/li>\n
    • How many seconds it rings<\/strong> before jumping. Between 18 and 20 is the reasonable point.<\/li>\n
    • What forwarding it has<\/strong> for no answer, busy, and unavailable. The detail is in the call forwarding guide<\/a>.<\/li>\n
    • What number it shows when calling out.<\/strong> Almost always the company’s main number, not the extension.<\/li>\n
    • What calling permissions it has.<\/strong> This is the point almost nobody configures.<\/li>\n<\/ul>\n

      Permissions: the setting that prevents nasty surprises<\/h2>\n

      Each extension should have an outbound calling profile. The typical case: a meeting room or warehouse extension doesn’t need to call international numbers or premium-rate numbers. If someone gets access to that handset \u2014 or if your PBX is left exposed \u2014 the damage is limited by design.<\/p>\n

      Three profiles cover almost any SME: internal<\/strong> (extensions only), national<\/strong> (landlines and mobiles within the country), and full<\/strong> (international). Assign the minimum each role needs to do its job.<\/p>\n

      Extensions and mobile<\/h2>\n

      With a virtual PBX<\/a>, the extension also lives on the employee’s mobile through an app. The salesperson dials the administration extension from the street just as if they were in the office, and when they call a customer the company number shows up.<\/p>\n

      Five common mistakes<\/h2>\n

      1. Numbering in order of arrival.<\/strong> By the third year there’s no logic left to rescue.<\/li>\n
      2. Not documenting the plan.<\/strong> A shared sheet with extension, person, department, and start date. When the person who set it up leaves, that sheet is worth its weight in gold.<\/li>\n
      3. Extensions with no owner.<\/strong> The classic 199 “for the room” that nobody ever picks up and where calls go to die.<\/li>\n
      4. The same permissions for everyone.<\/strong> Convenient until the day it isn’t.<\/li>\n
      5. Not announcing the change.<\/strong> If you reorder extensions, you need to update signatures, the website, business cards, and let recurring customers know. And leave a temporary message on the old extensions.<\/li>\n<\/ol>\n
