Free virtual PBX: what options really exist

You’re searching for a “free virtual PBX” because your company needs to route calls and the budget is where it is. It’s a legitimate search and deserves an honest answer, not a lecture about how cheap ends up expensive.

There are four real ways to have a phone system without paying a monthly fee. None of them is a scam. All of them have a cost; it just doesn’t always show up on an invoice.

Option 1: a commercial provider’s free plan

Several carriers offer a no-cost plan, usually limited to one or two extensions, with no queues, no recording, no integrations, and no support beyond a knowledge base.

Who it works for: a freelancer or a two-person business that just wants a professional number and call forwarding. If that’s all you need, it’s a valid option and there’s nothing more to debate.

Where the cost is: in usage. The plan is free, the calls aren’t, and per-minute rates on free plans tend to sit above market. If you make a hundred calls a month to mobiles, do the math first: it often ends up costing more than a paid plan with a flat rate.

Option 2: the free trial

Between fourteen and thirty days with everything unlocked. It’s not a free PBX, it’s a demo with an expiry date, and that’s fine.

How to really make the most of it: most companies use it to “see what it’s like” and waste it. Use it to answer three specific questions:

  • Can I change a schedule and a forwarding rule myself without calling anyone?
  • What does it sound like on my real network, at peak hour, not on a Tuesday at eight in the evening?
  • How long does their support take to answer when something breaks?

If the trial doesn’t answer those three, it hasn’t been of any use to you.

Option 3: build it yourself with open-source software

Asterisk, FreePBX, Issabel. Mature, powerful software with no license fee. It’s what’s underneath a good portion of the commercial PBXs on the market, including some that charge you a monthly fee.

Who it works for: companies with technical know-how in-house. If you have someone who administers servers, it’s a serious option and not a patch job.

Where the cost is, and it’s the most underestimated:

  • Server. A decent VPS has a monthly fee. The software is free, not the machine.
  • Numbering and calls. You need a SIP provider anyway. The PBX doesn’t give you a number.
  • Security. A poorly protected PBX exposed to the internet is a target. Phone fraud consists of exactly that: someone gets in, fires off thousands of calls to high-rate destinations over a weekend, and on Monday you have a four-figure bill. This happens, and it happens to people who don’t update.
  • Time. Initial setup, updates, and being available the day it goes down. Put a price on those hours and compare it to a monthly fee.

The conclusion isn’t “don’t do it.” It’s that open-source software shifts the cost from money to knowledge and responsibility. If you have the former, it works out very well. If not, it works out expensive in a way you won’t see coming.

Option 4: what you already have on your mobile

WhatsApp groups, a company mobile that gets passed around, forwarding rules set up by hand on the handset. Zero cost, and it’s where most Spanish SMEs are.

Stop comparing zero euros against a monthly fee and compare against what you’re losing. If you’re dropping three calls a day, that’s around sixty a month. If one in ten was a potential customer, that’s six opportunities. Multiply that by your average ticket.

That figure is the one that decides it, and almost no company has it because its current system doesn’t provide it. That data, in itself, is part of what you’re buying when you pay. To see it, you first need to measure your calls.
