VoIP PBX for businesses: what it is and how it works

You’ve been told your phone system needs to switch to VoIP, and if you’re lucky, someone threw three more acronyms at you to explain it. This article does the opposite: understanding what a VoIP PBX does under the hood, what you need for it to work well, and what questions to ask when someone hands you a quote.

What a VoIP PBX actually is

VoIP stands for Voice over IP: voice over the internet protocol. A VoIP PBX is the system that handles your company’s calls by converting your voice into data packets and sending them over the network, instead of over the copper pair of a traditional phone line.

Put simply: it’s the same PBX as always — extensions, transfers, greetings, queues — but running over your internet connection instead of over a metal box hanging on the wall of the utility room.

The practical difference isn’t technological, it’s about flexibility. Adding an extension on an analog PBX meant running cable. On VoIP it’s a two-minute configuration change.

The real journey of a VoIP call

When a customer calls your company, here’s what happens between the ring and someone answering:

  1. The call enters the carrier’s network. If the customer is calling from a mobile or a traditional landline, their voice travels as usual to the point where your VoIP provider picks it up.
  2. It gets converted into data. A codec — usually G.711 or Opus — digitizes and compresses the audio signal into very small packets, roughly 20 milliseconds each.
  3. The SIP protocol decides whose phone rings. SIP is the “language” the PBX uses to set up calls. This is where your rules kick in: schedule, IVR, queue, ring group, overflow.
  4. The packets reach your device. An IP phone, the mobile app, or the computer softphone receives the audio stream and converts it back into sound.
  5. Everything gets logged. Who called, at what time, how long it lasted, who picked it up, and whether it went unanswered. That log is the part companies coming from an old PBX miss the most.

All of that happens in under half a second. And here’s what matters to you: steps 3 and 5 are the ones that stop being locked in a box in your office and become configurable software.

What you actually need for it to work

Bandwidth: the calculation almost nobody does for you

A VoIP call with the G.711 codec uses around 100 kbps per direction, including protocol overhead. With more efficient codecs, it drops quite a bit. Translated to your office: ten simultaneous calls need around 1 Mbps of dedicated upload.

Any current business fiber connection covers that without blinking. The problem is never the amount of bandwidth, it’s who’s eating it up: a cloud backup kicking off at eleven in the morning or a whole team on a video call can degrade voice quality even if your bandwidth meter says you’ve got plenty to spare. That’s why it matters to prioritize voice traffic on the router (QoS), not buy more megabits.

Devices: you don’t have to throw anything away

There are three ways to talk on a VoIP PBX, and they can be mixed within the same company:

  • Desktop IP phone. For high-volume fixed stations: reception, customer service. Plug it into the network and it shows up with its extension.
  • Mobile app. The salesperson calls using the company number from their own device, and the customer never sees their personal number. This is the piece that solves the problem of having zero visibility into the calls your team makes from their mobile.
  • Computer softphone. With a headset, integrated with the CRM: you call by clicking on the customer’s record.

If you have analog phones that work fine, an ATA adapter keeps them in service. Makes sense for fax machines, door intercoms, or warehouse phones.

Numbering: you take your number with you

Portability is a right, and there’s no reason to give up the number you’ve always had. On changeover day your customers keep calling the same place; what changes is what happens after it rings.

What changes on day one

These are the features that suddenly appear, and that on a traditional PBX were paid add-ons or simply impossible:

  • Real business hours. The PBX knows that it closes at 6pm and acts accordingly instead of letting it ring into the void.
  • Queues and overflow. If both people handling calls are busy, the third call waits with music or jumps to another group, instead of getting a busy tone. That’s the difference between answering and losing calls during peak hours.
  • Recording. Useful for training and for settling disputes about what was promised on a call.
  • Statistics. Answered calls, missed calls, average wait time. Data you can actually use to measure your sales team.
  • Integration with your software. Having the call pull up the customer’s record in your CRM or ERP instead of forcing you to search for it by hand.

The three reasons someone will tell you “VoIP sounds bad”

It’s a common complaint, and it almost always has the same cause: it’s not the technology, it’s the installation.

  1. Wifi instead of cable. Voice is very sensitive to micro-interruptions. An IP phone connected over wifi through three walls will drop out. Over cable, it won’t.
  2. Home router. Consumer-grade equipment handles hundreds of small packets per second poorly and doesn’t prioritize voice. A business router with QoS solves 80% of quality complaints.
  3. Nobody configured the network. VoIP works the moment you plug it in, and that’s the trap: it looks finished. Without traffic prioritization or a minimum of network design, it works fine until the first high-volume day.

VoIP, virtual PBX, IP telephony: is it all the same thing?

They’re used as synonyms, and they’re not quite the same. VoIP is the technology that carries the voice. IP telephony is the complete service built on top of that technology.
